What Are Tasks?
Tasks are to-do items you create and assign to your team. Whether it’s a cleaning job after checkout, a maintenance fix, or a restocking run, tasks help you keep track of what needs doing, who’s responsible, and when it’s due.
Think of it like a shared checklist that everyone on your team can see — but each person only sees the items assigned to them.
How to Create a Task

Click Operations in the sidebar to expand it.

Click Tasks.

Click New Task in the top area.

The Create New Task modal opens. Fill in:

- Title (required) — a clear description of what needs to be done (placeholder: “e.g., Review guest inquiry for Villa Rosa”)
- Description (required) — more details about the task (placeholder: “Provide details about what needs to be done…”)
- Assign To (required) — select a team member from the dropdown
- Priority (required) — choose Low, Medium, or High
- Due Date (required)
- Start Time (optional)
- Entity Type (optional) — link the task to a Listing, Booking, Customer, Quote, or Service
- Tags (optional) — add comma-separated tags like “urgent, follow-up”
- Job Template (optional) — attach a pre-built checklist from your job templates

Click Create Task.
The task appears in the Active tab and the assigned team member can see it in their task list.
How to Assign a Task to a Team Member
When creating a task, the Assign To dropdown shows all team members on your account. Select the person you want to handle the task.
💡 Tip: If the person you want to assign isn’t in the dropdown, they may not have been added to your team yet. See: How to Add Team Members & Assign Roles.
You can also reassign a task after it’s been created:
- Click on the task to open its detail panel.
- Use the Assign to dropdown (with “Select team member” placeholder) to change the assignee.
- Click Save Changes.
Using Job Templates for Recurring Work
For tasks you create often (like checkout cleanings), SympleHost has Job Templates that save you from typing the same details every time.

Go to Operations → Jobs.

You’ll see job categories: All, Cleaning, Maintenance, Inspection, and Custom.

Click Create Job to build a new template, or use one of the Quick start templates:
- Checkout Cleaning — “Standard turnover clean between guests”
- Checkout Turnover — “Full inspection, cleaning, and restocking checklist”

Each job template includes:
- Job Name (e.g., “Checkout Cleaning”)
- Description
- Category dropdown
- Default Priority (Low, Medium, High, or Urgent)
- Estimated Duration (in minutes)
- A Checklist Template with different item types:
- Text Item — a text instruction
- Photo Required — before photo, after photo, or before & after
- Count Item — a numeric count
- Section Divider — a heading to organize the checklist
- Yes / No — a binary check
- Score (1-10) — a rating scale
- Video — a video capture
- Checkbox — a simple tick-off item
When you create a task and select a Job Template, the checklist is automatically attached so the team member knows exactly what to do and can check off each item as they go.
Task Detail Panel
Click any task to open its detail panel on the right side. You’ll see:
- Title and Description
- Due Date and Start Time
- Priority (Low, Medium, or High)
- Requested By — who created the task
- Assigned To — who’s responsible (or “Unassigned”)
- Related To — linked listing, booking, or customer
- Created and Updated timestamps
- Checklist — if a job template was attached, with checkable items
Action buttons: Edit task, Mark Complete, Archive, and Delete.
Troubleshooting
I can’t create tasks
Make sure you have access to the Operations section. Account Admins and Account Managers can create tasks by default. If you’re a Staff member, you may only be able to view tasks assigned to you.
My team member says they can’t see the task
Check that the task is assigned to them specifically. Also confirm they have an active account — members with an Invited status may not be able to log in yet.
I need to delete a task
Open the task detail panel and click Delete. Completed tasks remain in the Completed tab for your records.
