How to Track Task Progress & Completion

What Is Task Tracking?

Task tracking gives you a real-time view of everything your team is working on. You can see which tasks are active, which are overdue, and which have been completed — all from one screen. It’s your operations dashboard for keeping everything on schedule.


How to View Tasks

  1. Click Operations in the sidebar to expand it.

  2. Click Tasks.

You’ll see a task list organized by three tabs:

  • Active — tasks that are not yet completed and not overdue
  • Expired — tasks that are past their due date and haven’t been completed
  • Completed — tasks that have been marked as done

Each tab shows a count badge with the number of tasks in that category.


Filtering Tasks

By Team Member

The left side of the task page shows a list of your team members with task counts (open, total, done). Click a name to see only their tasks.

This is especially useful during check-ins or standups — quickly pull up each person’s workload.

Use the search bar at the top (“Search tasks…”) to find tasks by keyword — task title, listing name, or any text in the description.

By Date

Use the Calendar View section to filter tasks by specific dates. Click “Go to Today” to snap back to the current date.

Clearing Filters

Active filters are shown below the search bar. Click “Clear all” to remove all filters at once.


Switching Between List and Map Views

SympleHost offers two ways to view your tasks:

  • List view (default) — tasks shown in a scrollable list
  • Map view — tasks plotted on a map by their associated listing’s location

Toggle between views using the List and Map icons in the top area of the task page.

Map view is particularly helpful if you manage listings across different neighborhoods or cities — you can see at a glance where work is needed and plan routes for your team.


Viewing Task Details

Click any task to open its detail panel on the right side. You’ll see:

  • Title and Description (or “No description” if none was added)
  • Due Date (or “No due date”)
  • Start Time (or “Not set”)
  • Priority — Low, Medium, or High
  • Requested By — who created the task
  • Assigned To — the responsible team member (or “Unassigned”)
  • Related To — linked listing, booking, or customer
  • Created and Updated timestamps
  • Checklist — if a job template was attached, with items to check off

Task Statuses

Tasks in the calendar and list views show these status labels:

  • Urgent — high-priority task needing immediate attention
  • Needs Action — task is waiting for someone to act on it
  • Assigned — task has been assigned to a team member
  • Completed — task is finished
  • Declined — task was declined by the assignee

Marking a Task as Complete

  1. Open the task by clicking on it to show the detail panel.

  2. Click Mark Complete.

The task moves to the Completed tab. It stays there for your records so you can always look back and see when tasks were finished and by whom.

💡 Tip: If the task was created from a job template with a checklist, make sure all checklist items are checked off before marking the task as done — this ensures nothing gets missed.


Editing and Managing Tasks

From the task detail panel, you can:

  • Edit task — update the title, description, due date, assignee, or priority, then click Save Changes
  • Archive — remove the task from active views without deleting it
  • Delete — permanently remove the task

Spotting Overdue Tasks

The Expired tab shows all tasks that are past their due date. Check this tab regularly to catch anything that slipped:

  1. Click the Expired tab.

  2. Review the overdue tasks — check who’s assigned and how far past due they are.

  3. Either follow up with the assignee, reassign the task, or update the due date if circumstances changed.

⚠️ Important: Expired tasks don’t disappear or auto-cancel — they stay in the Expired tab until someone completes them or you manually close them.


Troubleshooting

I can’t see all tasks

If you have a team member filter active, you’ll only see that person’s tasks. Click “Clear all” to remove filters. Also check that you’re on the right tab — tasks may be in Completed or Expired instead of Active.

Tasks aren’t updating in real time

Refresh the page to pull the latest data. If you’re working with a large team, there may be a short delay before status changes from team members appear.

I need a task report

Use the OperationsReports section to get a broader operations overview including task completion data.
